Connecting your property to a PMS via Hotel Link API

This article provides a step-by-step guide for Hotel Link clients to connect their property to a PMS (Property Management System) that integrates using the Hotel Link API.

Following the steps below to ensures a smooth setup, enabling automated synchronization between the PMS and Hotel Link for seamless operations.

About the Connection

Hotel Link offers two-way connectivity with PMS (Property Management System) partners through the Hotel Link API.

This integration enables the automatic exchange of key operational data including rates, availability, and reservations helping properties streamline daily operations, reduce manual work, and ensure data consistency across systems.

Step-by-Step Guide

Follow the steps below to connect your property to a PMS that supports the Hotel Link API.

1. Sign Up with the PMS

Contact your PMS provider directly to register your property and request activation for the Hotel Link integration.

The PMS team will guide you through their onboarding process and confirm when your property is ready to connect.

2. Activation by Hotel Link

After completing onboarding with your PMS provider, contact your local partner providing the following details:

  • Property name

  • Property ID (if available)

  • PMS name

The PMS connection must be activated on Hotel Link system by the Hotel Link Global Support team. To complete the activation process, your local partner has to contact the Hotel Link Global Support team (support@hotellinksolutions.com) for credentials.

3. Credential Request and Mapping

Once activation is confirmed, your local Hotel Link partner will request the necessary credentials from the Hotel Link Support team, including:

  • Property ID

  • Authentication Key

After having provided the credentials, the Hotel Link Global Support team will enable the PMS connection on Hotel Link's end.

The connection status is now ready on Hotel Link's side. 

4. Notify the PMS

After Hotel Link confirms the PMS connection is active, you need to provide the credentials to your PMS provider.

Their team will then begin configuring and testing the API data flow.

After receiving these credentials, the PMS team will set up mapping in their system to link room types and rate plans with those in Hotel Link.

Note:

The PMS must be activated in Hotel Link first so that the mapping can be completed.

5. Data Synchronization

Once mapping is finalized, automatic data synchronization begins between Hotel Link and the PMS.

The following data is exchanged:

From PMS → Hotel Link:

  • Availability, Rates, and Inventory (ARI)

  • Booking restrictions (Stop Sell, Min/Max Nights, CTA/CTD, release period, etc.)

From Hotel Link → PMS:

  • Bookings (new reservations, modifications, and cancellations)

Synchronization runs automatically and typically covers up to 720 days in advance.

6. Testing and Go-Live

The PMS team may perform test transactions (e.g., test bookings or rate updates) to verify the integration.

Once both sides confirm that data is flowing correctly, the connection goes live and real-time synchronization begins.

7. Support and Troubleshooting

If synchronization issues or API errors occur, please ask your PMS team to provide the API request and response XML logs, and send them to:
