Follow this step-by-step guide to connect your Hotel Link account to your Property Management System (PMS). This integration will automatically sync your rates, availability, and reservations, eliminating manual entry.
About the Connection
Hotel Link provides full two-way integration with Property Management System (PMS) partners through the Hotel Link API. This connection allows seamless, automatic exchange of essential data - such as rates, availability, and reservations - between the PMS and Hotel Link. As a result, properties can streamline daily operations, minimise manual updates, and maintain consistent, accurate information across all systems.
Step-by-Step Guide
Follow the steps below to connect your property to a PMS that integrates with Hotel Link via API.
1. Confirm Integration Activation with Your PMS
Reach out to your PMS provider to request activation of the Hotel Link integration for your property. Since you are already using their system, the PMS team will simply enable the integration on their side and confirm once your property is ready to connect with Hotel Link.
2. Activation by Hotel Link
Once your PMS provider confirms that the integration is enabled on their side, contact your local Hotel Link partner and provide the following details:
Property name
Property ID (if available)
PMS name
Your local partner will then coordinate with the Hotel Link Global Support team to activate the connection in the Hotel Link system. The Global Support team, support@hotellinksolutions.com, will generate the necessary API credentials and complete the activation process.
3. Credentials & Mapping Setup
After activation has been initiated, your local Hotel Link partner will request the required API credentials from the Hotel Link Global Support team, including:
Property ID
Authentication Key
Once these credentials are issued, the Global Support team will enable the PMS connection within the Hotel Link system. With the credentials in hand, your PMS provider can call the Hotel Link API to retrieve the full list of room type and rate plan codes. These codes are required to complete the mapping on the PMS side. At this stage, the connection is fully activated on Hotel Link’s side, and the PMS team can proceed with mapping your property’s room types and rate plans.
4. Notify the PMS
After Hotel Link confirms the PMS connection is active, you need to provide the credentials to your PMS provider. Their team will then begin configuring and testing the API data flow.
After receiving these credentials, the PMS team will set up mapping in their system to link room types and rate plans with those in Hotel Link.
Note:The PMS must be activated in Hotel Link first so that the mapping can be completed.
5. Data Synchronization
Once mapping is finalized, automatic data synchronization begins between Hotel Link and the PMS. The following data is exchanged:
From PMS to Hotel Link:Availability, Rates, and Inventory (ARI)
Booking restrictions (Stop Sell, Min/Max Nights, CTA/CTD, release period, etc.)
Bookings (new reservations, modifications, and cancellations)
Synchronization runs automatically and typically covers up to 720 days in advance.
6. Testing and Go-Live
The PMS team may perform test transactions (e.g., test bookings or rate updates) to verify the integration. Once both sides confirm that data is flowing correctly, the connection goes live and real-time synchronization begins.
7. Support and Troubleshooting
If synchronization issues or API errors occur, please ask your PMS team to provide the API request and response XML logs, and send them to your local partner, or to our Global Support at support@hotellinksolutions.com
