Move bookings on Front Desk Calendar

The Front Desk Calendar allows you to seamlessly move operational bookings to available rooms with a simple drag-and-drop. This helps you easily manage room changes, stay flexible and enhance guests experience.

 

This feature is only applied when Front Desk solution is activated.

When do you need this feature?

Sometimes, a room may suddenly become unavailable — due to maintenance, cleaning issues, or unexpected damage. When that happens, you need a fast and easy way to move your guest to a different room without causing delays for their stays.

The Front Desk Calendar helps you handle these situations smoothly. With this feature, you can:

  • Better control of room inventory – Know exactly which rooms are in use, out of service, or being cleaned.

  • Faster decision-making – Managers can act quickly during peak hours or unexpected changes.

  • Improved team coordination – All updates are shared instantly with the right staff, reducing manual communication. This keeps your staff updated and avoids miscommunication between departments like housekeeping and reception.

Using the calendar to adjust room assignments helps your team stay flexible, informed, and efficient. 

Requirement when using this feature

  • The booking has at least 2-night stay.
  • The booking is operational.
  • The booking has already in an assigned room.

Step-by-step guide

  • Log in Hotel Link Extranet.
  • Go to Front Desk > Calendar.
  • Choose the date range suitable that has the booking that needs to be moved to another room.

Note:

The booking after being moved will still keep the same booking ID.

You can only move the booking to another room of the same room level.
