Using the request online payment function

This functionality sends an email notification to the guest with a button that links them to the booking checkout page they initially used to complete their payment process.

The "Request Online Payment" feature is designed to facilitate the payment process for both guests and hoteliers. When used, it sends an email notification to the guest with a button that links them to the booking checkout page they initially used to finalize their booking. This feature allows guests to update their details and complete their payment efficiently.

Requesting Online Payment

  • In the Extranet: Locate the booking for which you need to request payment.
  • Inside the Booking Details page, find the Payments section.
  • Click the Action button on the right and select 'Request Online Payment'.

Payment Request Settings

After selecting 'Request Online Payment', a Payment Request Settings window will appear.

  • Amount: Define the amount you wish to request. By default, it will display the total outstanding amount, but you can adjust this value as needed.
  • Allow Editing of Guest Details: Choose whether to allow the guest to edit their details by selecting 'Yes' or 'No'.
  • Notification Confirmation: The system will display a confirmation message indicating that a payment request notification will be sent to the guest's email address.

  • Process the Request: Click the 'Process' button to send the payment request. The guest will receive an email with a link to complete their payment.

  • Manual Processing: Note that this feature is not automated. The payment request simply captures the card details. The new card details provided by the guest will be added to the booking.

  • Auto Processing: If the hotel has an integrated payment gateway, such as PayPal or Hotel Link Pay, the payment process becomes automated. When the guest submits their payment, the system will automatically process the transaction without requiring manual intervention from the hotel staff. This ensures a seamless and efficient payment experience for both the hotel and the guest.

Viewing the Card Details

  • In the 'Payments' section, find the payment record associated with the card.
  • Click on the menu icon (represented by three dots) next to the payment record.
  • From the dropdown menu, select 'View card details'.
  • Enter your card vault password to gain access to the card details.
