Payment Instruction Section Enhancement

The enhanced Payment Instruction section in Booking Details introduces several improvements designed to streamline payment management, reduce missed transactions, and improve the overall user experience.

Key Enhancements

  • Clear Payment Information: The improved interface provides a comprehensive view of payment status, the amount to be collected, and OTA commission details. This clarity ensures that all financial transactions are accurately recorded and managed with ease.
  • Quick Payment Processing: A new "Charge" button allows direct payment collection from the provided card. This feature eliminates unnecessary steps, making transactions faster and more efficient.
  • Add New Card with Ease: Modifying or adding a new payment method is now a seamless process. A single click enables instant updates, ensuring that payment details remain accurate and up to date.
  • Prominent Notifications: Unpaid bookings are now clearly marked with prominent alerts, reducing the likelihood of missed payments. These notifications provide real-time insights, enabling timely action to maintain revenue flow.

This enhancement is applied for:

  • Bookings from Agoda and Booking.com.
  • Payment Method: Using and not using Hotel Link Pay.

Understanding the key fields

(1): Payment In-charge: The chip shows information on who will collect payment from the guest for the booking. There are two types:

    • Hotel needs to collect
    • OTA collected  

Note: When the payment method = OTA handles the payment, the payment in-charge chip has 2 chips:

  • Hotel needs to collect: If:
    • There is virtual card information from OTA. The content is: Guest paid to OTA. Make sure to charge the Virtual Credit Card issued by OTA.
    • There is real card information from OTA. The content is: This booking has not been paid. Make sure to collect the payment.
  • OTA collected: If:
    • There is no virtual card information from OTA. The content is: Guest paid to OTA and OTA will pay out to the hotel.

(2): Icon:

  • Shows notes from OTA regarding payment details.
  • Extracts information from the Additional Details section.
  • If Additional Details is empty, the icon will be hidden.

(3): Payment method to collect payment from the guest:

There are 4 cases:

  • Hotel collects the payment + no card
  • Hotel collects the payment + card included
  • Hotel collects the payment + virtual card information (only happens when OTA provides the virtual credit card)
  • OTA collects the payment: Guest will pay to OTA and OTA will pay out to the hotel.

(4): Payment & Commission Information:

  • Case 1: OTA collected:

    • Paid amount: Mandatory
    • OTA commission: If not available, the commission line will be hidden.
  • Case 2: Hotel needs to collect:

    • Amount to be charged: Mandatory
    • OTA commission: If not available, the commission line will be hidden.

(5): Card & Hotel Link Pay Information

There are three cases:

  • Not using Hotel Link Pay nor card included:
  • Not using Hotel Link Pay but having card from OTA: You can click View Card as normal
  • Using Hotel Link Pay: You can charge card by clicking the button below:

Note: The section (5) will be hidden if:

  • Guest pay at arrival: The guest will pay directly to the hotel. No payment details will be included when the booking is received.
  • Booking.com provides a VCC (Virtual Credit Card) for processing payments.
