New Payment Report by booking

A detailed overview of all payments — including transactions, refunds, and related metrics —designed to track financial activity, ensure accuracy, and support effective decision-making.

This feature will help hotels better manage and analyze their payment data with clear breakdowns and visual insights. It covers the display, filtering, calculation, and visualization of payments, refunds, and other key metrics by payment methods.

How to Access

To access this report, navigate to:
Repors > Payments Reports  > Payment Report by Bookings

Understanding the report

The New Payment Report by Booking includes two main sections:

🔶 Printout Conditions

  • Accommodation: For Admin and Partner accounts only, you can search for a hotel to export the report.

🔶 Filters

The filters allow users to customize the bookings displayed in the report based on specific conditions. There are five main fields:

  • Period: Select a specific date range to filter data. The system will show all payments made during that time—based on the payment date.
  • Payment Status: Filter bookings by current payment status. Options include Pending, Received, Deposit, Refundable Deposit, Refunded, Invalid Credit Card, Cancelled, Voided.
  • Payment Method: Select the payment method used to process the payment. Options based on the payment methods setup in the Booking Engine.
  • Card type: Select the card type to filter the report. Options include Visa, Master, JCB, Union Pay, Discover. 
  • Currency: Select the currency in which you wish to view the data. If you choose more than 1 currency, the report will be divided into separate sheets for each currency. Select a sheet to view data for a specific currency.

Instructions

This section provides a clear summary of the filters and settings applied to the report, helping users verify the included data before downloading or printing. It ensures the selected period, payment status, payment method, card type and currency are correct.

Payment Report

After users select filters and click “View summary,” the system will fetch data based on the selected criteria. Once complete, on the screen will show report summary panel and payment chart.

🔶 Report Summary Panel

The panel displays a revenue summary report by payment method, grouped by currency. It includes the current amount, percentage change compared to the previous period, and a clear breakdown of each payment method.

For example: Each selected currency in the filters above will be displayed in a separate block, showing the corresponding payment data for that currency (e.g., USD, VND).

🔶 Payment Chart

With the data generated, our system will create the charts accordingly by comparing these metrics to the previous month.

Booking Table

A detailed transactional table appears below the charts, featuring:

  • Frozen “Booking ref.” column on the left to help users maintain reference even when scrolling horizontally. When users scroll horizontally to the far right, a “Notes” column is revealed. This column includes internal remarks or additional descriptions related to the transaction (if available).

  • List of columns and their descriptions:

    • Booking ref.: Booking reference with hyperlink; clicking redirects to the Booking Details page.

    • Guest: Name of the guest who made the payment or received the refund.

    • Date: Date and time when the transaction was recorded (e.g., payment, refund, cancellation, deposit).

    • Status: Current status of the transaction.

    • Payment Method: The channel or tool used for the transaction, e.g., HLPay, Bank Transfer, Credit Card, Cash.

    • Card Type (for card transactions): Identifier of the card used (last 4 digits + card type, e.g., Visa 4200, Master 5100).

    • By user: Internal user who processed the transaction.

    • Currency: Transaction currency (e.g., USD, VND).

    • Amount: Value of the transaction:

      • Positive = payment received

      • Negative = refund/cancellation amount

    • Notes: Internal comments or extra details related to each transaction (if any).
  • Column selector to show/hide optional columns. Only Booking ref and Date columns always show as default.
  • Export options to download in JSON, XML, CSV, TXT, SQL, Excel.
