Understanding the TODOLIST feature

We are thrilled to introduce our latest feature: the TODOLIST! Designed to optimize daily operations, minimize manual tracking, and improve guest management, resulting in a more efficient and seamless experience.


This feature will be available directly on the Dashboard for all users, making it easier than ever for hotels to manage daily bookings efficiently.

What is TODOLIST?

TODOLIST is a powerful feature designed to help hotels streamline their daily operations. It simplifies task management, reduces the need for manual tracking, and enhances guest management, leading to a more efficient and seamless experience.

By integrating the TODOLIST into daily workflows, you can boost productivity, enhance service quality, and create a well-organized, guest-focused environment.

The Benefits of TODOLIST

With TODOLIST feature, it offers you numerous advantages to manage tasks more efficiently and improve guest experiences. Here’s how this feature can benefit your hotel:

  1. Streamline daily operations: By keeping track of pending and completed tasks, you can optimize workflows, reduce delays, and ensure smooth day-to-day operations.
  2. Reduce manual tracking: Keep track of bookings with new, payment required bookings in one place, ensuring a smooth check-in and check-out process.
  3. Improve productivity and efficiency: With this new feature, you can reduce human errors for check-in/check-out task, improve guest satisfaction, and manage bookings more easier.

How It Works

The TODOLIST displays the following information:

  • Date filter: Date Filter: This filter generates bookings to display in the To-Do List, with three options: Today (shows booking data for today), Yesterday (shows booking data for yesterday), and Tomorrow (shows booking data for tomorrow).

  • Retrieve Data: This option reloads the data and updates reservations with the latest changes. You can use this button once every 5 minutes. During this period, the button will be disabled and display the remaining time until the next retrieval is available.

  • Booking Management: This option directs you to Booking Management, where you can view and filter all your reservations. For more details, please refer to this article.

  • Search Bar: Use this filter to quickly find bookings by entering the Channel or Booking Reference. The system will display bookings that match the entered keywords.

  • Total Reservations Overview: A quick summary of bookings including: Departure, Arrival, In-house Guests, and New Bookings. Each value includes an indicator showing the increase or decrease compared to the previous date, based on the selected date filter:
    • Today: Compared with yesterday.
    • Yesterday: Compared with the day before.
    • Tomorrow: Compared with today.
  • Total Payment (bookings): This section displays the following data:
    • Payment Required:
      • Number of bookings requiring payment (current date ≤ checkout date)
      • Total outstanding amount
    • Overdue:
      • Number of overdue bookings (current date > checkout date)
      • The total overdue booking amount 

For example: In this case, there are 89 bookings that require payment, including 20 that are overdue.

The data in TODOLIST

(1) Filtering and Sorting: Filter and sort options by:

  • Sort by: Only one sorting criterion can be selected at a time. Users cannot choose multiple criteria simultaneously. The list can be sorted by the following criteria:
    • Source channel (Booking channel)

    • Check-in date

    • Check-out date

    • Stay duration

    • Booking status

    • Outstanding amount

The sort order can be either Ascending or Descending.

 

 

 

 

 

  • Booking Status: Confirmed, Operational, No Show, No show with penalty, Completed, Cancelled, Cancelled with penalty, Unsettled, On request,... Source channel
  • Source channel:
    Source channel (1)
    • Only channels with at least one booking will be displayed; channels without bookings will not appear in the list.
    • If there are more than 10 booking channels, a scroll bar will be shown for easier selection.
    • Users can search by keyword and select multiple channels or use "Select all" to toggle all options. Users can uncheck "Select all" to deselect all.
    • Click "Apply" to apply the filter and update the booking list based on the selected channels.
    • Filters apply per tab, not across all tabs.

If you don't want to use the current filter and sort anymore, click 'Clear all filter & sort'.

(2) Tabs: Stay on top of your daily tasks with these tabs:

  • Departure: This tab shows the bookings have check-out dates today.
  • Arrival: This tab shows the bookings have check-in dates today.
  • New Booking: This tab shows the bookings are made today.
  • Payment Required: This tab shows bookings needing payment today or overdue. Bookings with Outstanding = 0 will be hidden from this tab.
  • In-house Guests: All guests who will check in today and those who are currently staying at the hotel. (Confirmed and Operational bookings)

Each tab shows today by default, but you can adjust to view past or future dates.


The list will summarize the booking details with the following data:

  • Booking source: OTAs, Website or Offline bookings.
  • Booking reference: Booking reference from our system and Channel reference.
  • Name & Dates: The guest name and stay dates.
  • Room Number (for hotels using Front Desk): If Front Desk is activated, the room number will now be shown directly on the booking card.
  • The booking status: Confirmed, Operational, No Show, No show with penalty, Completed, Cancelled, Cancelled with penalty, Unsettled, On request.
  • Internal notes: Additional reservation comments/notes.
  • The booking payment: it shows the total booking amount and the outstanding amount
  • Buttons:
    • : For Departure, Arrival and New booking tab: This will be check-in or check-out button depending on the tab is Departure or Arrival. When hovering the mouse to this button, it will show the action is to check-in or check-out which reduces mistakes.
    • : For Payment required tab: This button is used to view the payment and charge the booking (if you use Hotel Link Pay) or view card details (if you don't use Hotel Link Pay). In case the booking does not have credit cards, this button will be disabled.

The footer

Related Report: This field will generate depending on the tab you are using:

  • For Departure tab: it shows Departure List Report
  • For Arrival tab: it shows Arrival List Report
  • For New booking and Payment required tab: there is no related report
  • For No data tab: there is no related report

For convenience, you can easily download the related report file with the button next to Related Report line.
