Troubleshooting & Frequently Asked Questions

This section covers the most common issues and questions you may encounter when activating PriceLabs with Hotel Link.

I entered the wrong PriceLabs email. Can I change it?
The email field is locked after the first save, as each hotel can only be mapped to one PriceLabs account. Please contact Hotel Link Support to reset the mapping for your property.
I received an error from PriceLabs when saving. What should I do?
A red warning message will appear under the controls with the error returned by PriceLabs. The most common causes are an unrecognised email address, room or rate names containing special characters, or a temporary issue on the PriceLabs side. Correct the input and click Save again. If the error continues, please contact Hotel Link Support.
I cannot see the Push Bookings to RMS button.
The button only appears after your first successful Save and disappears once the historical push has been completed. From that point on, bookings are sent automatically and the button is no longer needed.
Why can't I select a date earlier than 01-01-2020?
01-01-2020 is the earliest historical date PriceLabs accepts through this integration. If your property was created in Hotel Link after that date, the earliest selectable date is the date your property was created.
My Price Feed table is empty.
It can take a short while for PriceLabs to produce its first suggestions after the initial setup. If the table remains empty, please check the following:

1. Check that your rooms are toggled on in the Mapping tab.
2. Check if the Sync Price toggle in PriceLabs is turned on. It must be enabled for the Price Feed table to display price recommendations.
3. Next to Price Feed table, use the Refresh button to pull the latest data (no more than once every 10 minutes).
Can I disconnect from PriceLabs?
Yes. Open the PriceLabs Mapping tab in Hotel Link and click Deactivate. Your mapping configuration is preserved so you can reactivate later without re-entering everything. If you want to disconnect completely on both systems, please read the Deactivate connection section in this article.
How do I change the currency on the PriceLabs mapping screen?
The currency displayed on the PriceLabs mapping screen is based on your hotel's default Rate Currency setting in Hotel Link. To change it, update the Rate Currency setting in Hotel Link before connecting. Note that this cannot be changed from the mapping screen itself.
Are there additional charges for creating rooms in PriceLabs?
No. There is no additional charge for simply creating or importing rooms into PriceLabs. Billing is based only on listings that are actively syncing during a billing cycle (where the Sync Price toggle is set to ON). Note that if you are configuring multi-unit listings, child units are charged at a lower rate once syncing is active.
When a room is created in PriceLabs, is the Sync Price toggle automatically turned ON?
No. When a new room is first pulled into PriceLabs, the Sync Price toggle is automatically set to OFF. This allows you to log in to PriceLabs, review the pricing recommendations, and adjust your settings before manually toggling it ON to push live prices to Hotel Link.
How do I switch from one PMS to Hotel Link?
Follow the steps outlined in the Transitioning Between Management Systems guide on the PriceLabs Help Center. This process uses the mapping feature to safely copy historical data and pricing settings from the old PMS listing to Hotel Link before disconnecting the old connection, ensuring no data is lost.
How often are rates synced to Hotel Link?
Once the Enable Price Sync toggle is on, PriceLabs syncs rates automatically once per night, between 23:00/00:00–12:00/13:00 GMT (depending on daylight savings).

To sync sooner, click Review Prices on the listing, then Sync Now. Note that Sync Price must be toggled ON for this to work, and it can also be done in bulk via Bulk Refresh and Sync.

Both the default overnight sync and Specify Your Own Sync Time run once every 24 hours; only the timing changes, not the frequency. A gap of up to 23 hours between syncs is normal. For multiple syncs per day, you'll need the paid Additional Sync or Real-Time Sync add-ons (found under Account > Settings), which cost $1/listing/month and USD 2/unit/month respectively. For more details, click here to know more how often rates are synced between 2 systems.
What is the correct way to choose a base price?
Think of the base price as the average per-night price for your property across the whole year, covering both high and low season. Choose a number in line with your number of bedrooms and the amenities your property offers. You can also use the Help me choose a base price option in PriceLabs to set an appropriate base price.
How close should my minimum price be to my base price?
We recommend keeping your minimum price and base price at least 20% apart. Think of the minimum price as the lowest rate at which you are willing to let out your property, one that still covers your expenses without incurring a loss. If the two prices are too close together, the algorithm will not have enough range to generate optimal pricing recommendations.
Do I need to map my listings if they appear on multiple platforms?
Yes. If the same listing is imported from multiple platforms, such as Airbnb, VRBO, or through a Property Management System, make sure to map those listings together. This keeps your subscription cost down and avoids duplicate setup steps for the same property.
What happens if I don't define stay restrictions?
Defining a minimum stay ensures guests must book a minimum number of nights when reserving your property. Without stay restrictions in place, you may receive single-night bookings that block out dates a longer, more valuable booking could have used.
Should I use all the customization options PriceLabs offers?
Not necessarily. PriceLabs' pricing algorithm is already highly effective at recommending prices suited to your local market. Customizations exist to give you additional control over your properties, but they should only be used when you have a specific, defined need for them.
Why has my booking window shifted since using PriceLabs?
PriceLabs adjusts your pricing based on seasonality, local market demand, and other factors, which naturally shifts your booking window. As a result, you may start receiving bookings closer to the arrival date than you did before using PriceLabs.
I got the error "It seems that the user has not allowed you to add listings in their PriceLabs account" when trying to create rooms in PriceLabs. What should I do?
This means that you have not activated Hotel Link on PriceLabs' end. Please follow Step 1: Connect Hotel Link in PriceLabs in this article to set up the connection fully.
